KYC Verifications

The KYC Verifications section is where you manage all customer verification submissions, from sending invitations to reviewing completed forms.

Overview

The KYC Verifications dashboard provides:

  • Invitation Management: Send and track invitations
  • Submission Review: Review completed customer submissions
  • Status Tracking: Monitor verification progress
  • AI Assistant: Get AI-powered insights on submissions
  • Risk Assessment: View automated risk analysis

Sending Invitations

Create a New Invitation

  1. Navigate to KYC Verifications in the sidebar
  2. Click New Verification or Invite User button
  3. Fill in the invitation form:
    • Email Address: Customer’s email (required)
    • Workflow: Select which workflow to use (required)
    • Expiry Date: When the invitation expires (optional)
    • Notes: Internal notes (optional)
  4. Click Send Invitation

Bulk Invitations

Send multiple invitations at once:

  1. Click Bulk Invite or Import CSV
  2. Upload a CSV file with columns:
    • Email
    • Workflow (optional, uses default if not specified)
    • Custom metadata (optional)
  3. Review the import preview
  4. Click Send Invitations

Invitation Status

Invitations can have the following statuses:

  • Pending: Invitation sent, customer hasn’t started
  • In Progress: Customer has started but not completed
  • Completed: Customer completed the verification
  • Expired: Invitation link has expired
  • Cancelled: Invitation was cancelled

Viewing Submissions

Submission List

The main verifications page shows all submissions with:

  • Customer Email: Who the invitation was sent to
  • Workflow: Which workflow was used
  • Status: Current submission status
  • Submitted Date: When the form was completed
  • Actions: Quick actions menu

Filtering Submissions

Filter submissions by:

  • Status: Pending, In Progress, Completed, etc.
  • Workflow: Filter by specific workflow
  • Date Range: Filter by submission date
  • Search: Search by email or submission ID

Sorting

Sort submissions by:

  • Date (newest/oldest)
  • Status
  • Customer email
  • Workflow

Reviewing Submission Details

Access Submission Details

  1. Click on any submission from the list
  2. View the detailed submission page

Submission Information

The detail page shows:

1. Submission Header

  • Customer email
  • Submission ID
  • Status
  • Created date
  • Completed date
  • Workflow used

2. Form Responses

  • All field responses
  • Uploaded documents
  • File previews
  • Download links

3. AI Assistant Card

  • Summary: AI-generated summary of the submission
  • Findings: Key findings and insights
  • Risk Assessment: Automated risk scoring

4. Documents

  • View uploaded documents
  • Download individual files
  • View document metadata

5. Metadata

  • Submission metadata
  • Custom fields
  • Internal notes

Actions on Submissions

Approve Submission

  1. Review all information
  2. Click Approve
  3. Add approval notes (optional)
  4. Confirm approval

Reject Submission

  1. Click Reject
  2. Enter rejection reason
  3. Optionally send notification to customer
  4. Confirm rejection

Request Additional Information

  1. Click Request Info
  2. Specify what information is needed
  3. Send request to customer

Export Submission

  • PDF Export: Download as formatted PDF
  • JSON Export: Download raw data as JSON
  • CSV Export: Export to spreadsheet

AI Assistant

Summary

The AI Assistant provides an automated summary of each submission, highlighting:

  • Key information collected
  • Notable findings
  • Potential concerns

Findings

Click Show Findings to view detailed AI insights:

  • Data quality assessment
  • Completeness check
  • Anomaly detection
  • Recommendation flags

Risk Assessment

View automated risk scoring:

  • Overall Risk Level: Low, Medium, or High
  • Risk Factors: Individual risk indicators
  • Risk Score: Numerical risk score (0-100)

Submission Statuses

Pending

  • Invitation sent
  • Customer hasn’t started
  • Can resend invitation
  • Can cancel invitation

In Progress

  • Customer has started the form
  • Can view partial responses
  • Can send reminder email
  • Can cancel invitation

Completed

  • Customer finished the form
  • All required fields filled
  • Ready for review
  • Can approve/reject

Expired

  • Invitation link expired
  • Can resend invitation
  • Can extend expiry date

Cancelled

  • Invitation was cancelled
  • Cannot be reactivated
  • Can create new invitation

Bulk Operations

Bulk Actions

Select multiple submissions and:

  • Approve: Approve all selected
  • Reject: Reject all selected
  • Export: Export all selected
  • Delete: Delete all selected (if allowed)

Export Multiple Submissions

  1. Select submissions using checkboxes
  2. Click Export Selected
  3. Choose format (PDF, CSV, JSON)
  4. Download the file

Search and Filters

Search by:

  • Customer email
  • Submission ID
  • Workflow name
  • Notes

Advanced Filters

  • Date Range: Filter by creation or completion date
  • Status: Filter by submission status
  • Workflow: Filter by workflow type
  • Risk Level: Filter by AI risk assessment
  • Custom Fields: Filter by custom metadata

Notifications

Email Notifications

Configure email notifications for:

  • New submissions
  • Status changes
  • Rejections
  • Approval requests

In-App Notifications

Receive notifications for:

  • New submissions requiring review
  • High-risk submissions
  • Expiring invitations
  • System updates

Best Practices

1. Review Promptly

  • Review submissions within 24-48 hours
  • Set up notifications for new submissions
  • Use filters to prioritize high-risk submissions

2. Document Decisions

  • Add notes when approving/rejecting
  • Document any manual verification steps
  • Keep audit trail of decisions

3. Use AI Insights

  • Review AI Assistant findings
  • Pay attention to risk assessments
  • Use insights to guide review process

4. Maintain Records

  • Export important submissions
  • Archive completed verifications
  • Keep records for compliance
